What Clients Actually Want To Know

Before building a template, understand what your client cares about. Most agency clients are business owners or marketing managers. They are not data analysts. They want answers to four questions:

  1. How much did we spend? — Total budget across platforms
  2. What did we get? — Conversions, leads, purchases
  3. Is it working? — CPA trending up or down, ROAS improving
  4. What are you doing about it? — Actions, not just data

Your template should answer these four questions on the first two pages. Everything else is supporting detail.

The 4-Page Monthly Report Template

Campaigns are ranked by CPA — not spend. CPA combines spend and conversions into one number that tells the client whether a campaign is working.

What To Skip In Your Template

Most agency reports include too much. Here is what to leave out:

Skip: Full campaign list with every metric

Your client does not need to see all 47 campaigns with impressions, clicks, CTR, CPC, and conversions. That is 5 pages of data nobody reads. Show top 3 and bottom 3 by CPA. Skip: Platform-specific jargon

Do not use "ROAS," "CTR," "CPM," or "impression share" without explaining what they mean. Your client is a business owner, not a media buyer. Use spend, conversions, and CPA. Those three numbers tell the story.

Skip: Screenshots from Google Ads / Meta Ads

Screenshots of ad platform dashboards look unprofessional. They show the client that your "report" is just a screenshot with your logo on it. Build clean tables with the data extracted and formatted consistently.

Skip: Colour-coded heatmaps for every metric

A few colour indicators are helpful (green for improving, red for declining). But a spreadsheet with 50 colour-coded cells is visual noise. Use colour sparingly — only on the metrics that matter.

Skip: 30-day trend charts for every metric

One trend chart for total spend is useful. Trend charts for impressions, clicks, CTR, CPC, and conversions — all on separate graphs — is too much. Pick one chart that tells the story (usually spend vs conversions over time).

Weekly reports should be fast to read — 2 pages, no fluff. Monthly reports can be more detailed because the data tells a fuller story.

Template Mistakes That Lose Clients

Mistake 1: Same template for every client

A ₹1,00,000/month client and a ₹5,00,000/month client need different levels of detail. Small clients want a quick summary. Large clients want more campaign detail. Build 2-3 template variants, not one size fits all.

Mistake 2: No context for numbers

"Spend: ₹2,50,000" means nothing without context. Is that up or down from last month? Is it on budget or over? Add a simple arrow or percentage change: "Spend: ₹2,50,000 (↑8% from May)".

Mistake 3: Sending raw data as "reports"

Exporting a CSV from Google Ads, adding your logo, and emailing it is not a report. It is a data dump. Clients pay you for analysis, not data exports. Your template should present data in a way that answers questions, not creates them.

Mistake 4: No call to action

End every report with what happens next. "We will increase budget on Performance Max by 20% next month" or "We are testing new creatives for the Display campaign." This tells the client you have a plan.
